Position Summary

The Executive Assistant provides support to the Chief Commercial Officer of Insulet Corporation in addition to his direct reports. When possible, the position will also provide support to other members of the executive team.  The ideal candidate is enthusiastic, proactive, and confident and has a strong work ethic.

Responsibilities

  • First point of contact, in person and on phone, for assigned executive(s).  Screen calls and route executive(s) correspondence and emails.
  • Responds to routine correspondence, research background material and respond to visitors and telephone calls.
  • Performs a broad range of complex duties involving confidential or technical information, such as compiling reports, furnishing information, scheduling meetings and preparing agendas.  Prepare and produce emails, letters, documents, reports, spreadsheets, and/or presentations for general business needs or meetings as requested.  
  • Maintain and protect highly confidential corporate information and communicate information within scope of authority.
  • Maintain executive(s) schedules and calendar by arranging meetings, appointments, and calls.
  • Manage all meeting details such as room reservations, preparing agendas, securing necessary IT equipment, initializing presentations, catering, and attendee updates.
  • Coordinate and initiate conference calls and WebEx meetings.
  • Prepare and process purchase orders and invoices.
  • Prepare expense reports for executive(s); review and approve reports for team as designated.
  • Arrange executive(s) domestic and international travel as needed.
  • Scheduling/event management for employee and external company functions.
  • Organize logistics and catering for executive and business meetings as needed.
  • Assignments typically involve work of a confidential or complex nature, requiring considerable discretion, judgment, tact and diplomacy.
  • May exercise considerable judgment and discretion in completing assignments.
  • Special projects as assigned.

Education and Experience

  • Bachelor's degree preferred.  Minimum of 3 years’ experience supporting C-level executives required.  Experience supporting multiple executives preferred.
  • Experience communicating with Boards of Directors preferred.
  • Experience with “roadshow” scheduling is desirable, but not required.

  • Exceptional verbal, written, presentation, and communication skills.

  • Possess strong problem resolution and project management skills.
  • Ability to act independently and use discretionary judgment.
  • Strong organization skills and ability to multi-task.  Ability to handle multiple, competing priorities and projects.
  • Strong customer service orientation.  
  • Ability to work independently and part of a team.
  • Heavy Microsoft Outlook scheduling experience.
  • Extremely knowledgeable in Microsoft Office suite (Word, Excel, and PowerPoint).
  • May require limited business travel.
  • Ability to work and/or be accessible outside of standard business hours as needed.
